Rockford Chess Challenge
Fee schedule: Facility
Maximum $3 per actual attendee. This is broken as a base $1/attendee plus up to
$2/attendee bonus for providing an optimal tournament experience. Deductions from the
bonus will be based for any sub-optimal delivery as detailed below.
The facility is responsible incurring for all incidental costs for using the facilities including (but may not be limited to): 1) building rental 2) janitorial services 3) security 4) table and chair rentals .
Tournament space
Optimal: 6 players per 8 foot table
Deduction: $10 per additional table needed for optimal conditions
Calculated:
(Number of players / 6) = Optimal number of tables
(Optimal Number of tables - Actual number of tables) * $10 = Crowded play area deduction
Payment will be withheld pending negotiation: if insufficient tables for 8 players per table
Note: Deductions are structured to make it more financially advantageous for the host facility to rent needed tables rather than run a crowded tournament.
Skittles area
Optimal: Space for 150% of tournament attendees
Deduction: $1.25 per seat needed for non-crowded conditions
Calculated:
(total number of players - Players in team rooms) = skittle area players
(skittle area players * 1.5) = Optimal number of seats
(optimal number of seats - Actual number of seats) * $1.25 = Crowded skittles area deduction
It is recommended the use of team rooms to offload skittles area space requirements
Payment will be withheld pending negotiation: If insufficient
seating for 75% of skittle area players
Tournament staff space
Required
Table for scorers + 4 chairs (near tournament room)
Table for TD + 2 chairs (near outlet)
2 tables for check-in + 4 chairs (from 8 AM to 9 AM)
1 table for Chess Control + 1 chair (9 AM to end of tournament)
The tournament staff volunteers will be arranged separately

Tournament setup
Optimal: All tables and chairs set up by 6:30 PM Friday night
It is expected that the facility will provide the labor for setting up tables and chairs.
Deductions:
Friday late setup: $.20/player/hr (maximum 3 hours)
If past 7 AM Saturday: additional $1/player
Tables set up by tournament staff: $2 table
Chairs set up by tournament staff: $.25 chair
Payment will be withheld pending negotiation: if table and chair
setup goes past 8 AM Saturday
Concessions
Optimal: Concessions open from 8:15 until 2:15 PM
Deductions:
Not available during optimal shift: $.05/player/hr up to maximum $.25/player/hr
Other Requirements
PA system in tournament area at 9 AM, and in award area for ceremony
Deduction: $.20/player if no PA provided
