Tournament Organizer:

Oversees tournament, coordinates with volunteers, responsible that every detail is addressed. Goal: Best run tournament ever Friday: 6 PM - ?

Saturday: 7:30 - cleanup

Host site coordinator:
provided by host site
Primary contact for all host site issues. Always present and attentive to the needs of the tournament and guest. Goal: Best run tournament ever Pre-tournament: as needed

Friday: 6 PM - arranges tournament setup

Saturday: 8 until end

Tournament Directors:
provided by Rockford Scholastic Chess

 

Oversees tournament play, generates pairings, final ruling on disputes. Goal:  Fun and fair for all. Tournament run as expeditiously as possible. Saturday: 7:30 - last round
Tournament Judges:
provided by Rockford Scholastic Chess
Handle questions and disputes. Monitoring play area to ensure optimal play conditions (quiet and non-disruptive). Goal: Ensure all players enjoy a fun and fair tournament experience Saturday: 

8:30 - last round

Tournament Assistants:
provided by volunteer organizer

 

Post new pairings and standings, makes announcements, handles routine issues, tracks down missing players. Assist in award preparation and presentation. Goal: Ensure all pertinent info gets to guests quickly, and issues addressed promptly and accurately.  Saturday:

Check-in tables:

Welcome guests as they arrive. Verify player information.  Confirm all registration information. Goal: Guest questions/issues addressed. All player + team info as accurate as possible before play begins. Saturday:

4 persons -  8:00 - 9:15
1 person  9:15 - 10:15 (can combine with USCF reg table)
USCF registration table (check-in period only):

Not required for unrated tournaments

Register players for USCF. Goals: Ensure all players are registered and current. All USCF issues addressed Saturday:

Scorers:

Record results as reported by players. TLC to discouraged players. Pass completed rounds onto TD as quickly as possible. Goals: Expeditious and accurate results. Each player feeling 100% confidence in the fair handling of their scores.  Saturday:

Host site monitors:

Monitor skittles area. Answer questions. Ensure respect for facility and other guests. Goals: Total safety and well-being of guests. Absolutely no harm to facility. All adults present will be deputized with this responsibility
Concession stand:
provided by host site
Provide food for participants. Be part of the festive tournament experience. Goals: Good food. Exceptional customer service. Raise funds for hosting organization for the purpose of enhancing their own chess program. 8-9: Coffee for volunteers
9-11: Morning concessions

Pre-tournament planning and coordination
Tournament Organizer:

Arranges facilities, arranges volunteers, responsible that every planning detail is addressed (see TO checklist). Goal: Best coordinated tournament ever
Host site coordinator:
provided by host site
Schedules dates and arranges space. Primary contact for all host site issues.
Tournament Entry Coordinator:
provided by Rockford Scholastic Chess
Processes all entry forms. Address anomalies and entry questions. Goal: All entries as accurate as possible prior to tournament day.
Promoter:
provided by Rockford Scholastic Chess
The promoters job is to promote scholastic chess in the area. This tournament is merely a vehicle to that end. Goals:
- Every child with an interest in playing scholastic chess to be contacted and given the opportunity to participate.
- Every scholastic chess club invited.
- Special attention and mentoring to new clubs and players.

- All volunteers to wear red vests

- Have an unresolved issue during the tournament? All volunteers deputized to go beyond their designated duties to correct a problem that is affecting the enjoyment of tournament players.
